How to upload and manage different types of documents.

The updated Files module simplifies how you upload, organize, and manage documents, media, and files for your drone program. Through the web dashboard, Admins and users can now access all attachments across the account in one centralized interface, eliminating the need to search through individual flights, folders, or records.

  1. The Files update provides a high-level view of all account attachments, with tools to:

  • Upload and categorize files

  • View, download, rename, or delete files

  • Associate files with multiple drones, missions, or users without duplicate uploads

  • Manage everything from a single dashboard

2. Supported Document Types

Here’s a breakdown of files you can manage, organized by category:

  • Missions & Flights: Land use agreements, risk assessments, non-LAANC authorizations

  • Flight Logs: Uploaded logs (viewable in Flights > Flight Logs tab) with status indicators (e.g., processing, failed due to corrupt data)

  • Media: Photos, videos, or sensor data linked to flights or other objects (Files > Media tab)

  • Users: Part 107 certificates, renewals, training records, medical exams (under Certificates or Files)

  • Aircraft: Registrations, invoices, purchase orders, insurance documents

  • Maintenance & Incidents: Damage/repair photos, repair invoices

  • Custom Airspace: KMLs, shapefiles, and related documents

  • Program-Level Documents: Waivers, exemptions, COAs, or other high-level files

3. Uploading Files

  • Supported Formats: PDF, JPG, PNG, MP4, CSV, KML, shapefiles. In most cases, Air Control supports up to 5GB files.

  • Steps:

    1. Select a category (e.g., Aircraft, Missions) or upload to the general Files section.

    2. Click "Attach Files" or "Upload," then choose or drag-and-drop files.

    3. Add tags to missions, users, etc., (e.g., “repair,” “compliance”) and descriptions for easy searching.

  • Bulk Upload: Upload multiple files at once.

  • Single Upload, Multiple Associations: Upload a file once and link it to multiple records (e.g., a certificate tied to a user and a mission).

4. Viewing & Managing Files

  • Centralized View: See all files across the account in the Files dashboard.

  • Admin Tools:

    • Download: Export files individually or in bulk.

    • Rename: Update file names for clarity (e.g., “Drone123_2025_COA”).

    • Delete: Remove files to remove outdated or irrelevant information.

    • Reassociate: Link files to additional records without re-uploading.

  • Search & Filter: Find files by keyword, tag, category, or associated record.

  • Version Control: Upload new versions of files (e.g., updated waivers); older versions are archived.

5. Additional Features

  • Permissions: Admins control who can view, edit, or delete files; users have read-only access by default.

  • Audit Trail: Track uploads, edits, and deletions with timestamps and user IDs.

  • Mobile Access: View or download files via the [System Name] mobile app.

  • Storage Monitoring: Check usage under "Settings" to stay within account limits.

6. Best Practices

  • Use consistent naming (e.g., “DroneID_Category_Date”) for quick identification.

  • Upload critical documents promptly to ensure compliance readiness.

  • Periodically review and archive outdated files.

7. Troubleshooting

  • Upload Issues: Verify file size/format or internet connection; contact support if needed.

  • Missing Files: Check filters or document type tabs.

  • Access Errors: Confirm your permissions with your admin.
